Non-Posting Managers: User Guide to Managing Applicants

The ATS provides a robust Jobs Dashboard that allows Non-Posting Managers to filter applicants and easily find qualified applicants for open positions.

Job Listings Tab

The Job Listing tab will contain the list of jobs available to the user, controlled by user permissions. The user may view job details using the Magnifying Glass icon or Manually Add an applicant to the job listing with the Add Applicant icon. Other details providing information regarding the job are visible in this view including total number of applicants. Use the Details drop down menu to see information related to the applicants for the particular job.

Selecting an option from the Details drop down menu will expand the screen to provide the specific applicant information. Use the filter options to adjust the view of applicant information.

All Applicants Tab

The All Applicants tab will initially provide the user all jobs and all applicants available to the user, controlled by user permissions. Reduce the applicants in the view by specifying the job(s), applicant status, active or archived applicants (or both), the date range, and whether the applicants met basic qualifications or not.

The ATS also provides a robust Applicants Dashboard for Non-Posting Managers. The default view of the Applicants Dashboard provides applicant statistics related to number of complete applications, incomplete applications, etc. Click the Magnifying Glass or the job title to be taken to a list of applicants for the selected job.

View Applicants Tab

The View Applicants tab will provide a list of applicants for the selected job according to the filters applied.

Job Questions Tab

The Job Questions tab allows the user to sort and compare all applicants for the selected job according to the applicants response to the Job Questions associated with the job. Select the specific Job Question by checking the box on the left. Refresh the view to see the applicants response(s).

Find an Applicant

The Find an Applicant tab allows the user to search through applicants of the selected job by first or last name, email, or phone number. Once the applicant record is found click on the magnifying glass to the left of the applicant's name to expand the details.

Users may also utilize the search bar that appears in the upper right of most page views.

Status Report

The Status Report tab allows the user to view the number of completed applicants, for the selected job, currently assigned to a specific status.

Source Report

The Source Report tab allows the user to view the number of completed applicants, for the selected job, and the referral source the applicants selected.

Send Emails

The Send Emails tab allows the user to send an email to a group of applicants. Use the filter options to gather the group of applicants who should receive the email message. Select the applicants by checking the box on the left. Select the email message to be sent from the Email Template drop down box at the bottom of the page. The email screen will appear on the page for a final review. Click Send Email to send the email message to all selected applicants.

Mass Updating Applicants

Save time by conducting a mass update of applicant disposition status, archive status, assign applicants to Assigned Users, and/or change the completion level of the applicants. Select the applicants by checking the box on the left and make a selection from the various drop down menus.

Spotlight

Spotlighting an applicant or group of applicants is simply sending an email note to another user(s) referencing the applicant(s). Select the desired applicant(s) by checking the box to the left of the applicant name and then click the Spotlight icon near the bottom left of the page. The Spotlight screen will appear on the page. Provide comments to the other user(s), select the user(s) to receive the Spotlight, and click Send Email.
