Working with a PlanSource Single Sign On (SSO) User and Applicant Tracking User Settings

There are three steps to connecting your Single Sign On (SSO) PlanSource user with the appropriate Applicant Tracking User settings. You must complete ALL three steps in order for the user to function appropriately.

  1. Add the Applicant Tracking authority to the SSO user using the instructions in this document provided by PlanSourceGranting PlanSource Users Access to Applicant Tracking.
  2. The individual user must now log into PlanSource using their SSO user and access the Applicant Tracking tool for the first time.
    1. Instruct the user to log in at https://plansource.ultipro.com with their SSO User Name and Password.
    2. The user must then click MENU and Applicant Tracking in the upper left corner.

NOTE: This initial login will provide the user with a very restricted view of the Applicant Tracking tool. Step 3, will allow you, the Administrator, to alter their user settings within the Applicant Tracking tool.

  1. After the user has logged into PlanSource and accessed the Applicant Tracking tool for the first time their user information will appear on the Assigned User tab of the Users Dashboard within the Applicant Tracking tool. At this point any user with administrative access to the Applicant Tracking will be able to assign the appropriate Applicant Tracking user settings for this new user.

Editing the Applicant Tracking User Settings
To edit the Applicant Tracking users settings for the individual users go to the Users Dashboard > Assigned Users tab, and click the magnifying glass next to the user’s name. The user setting dialog box will open, and you may modify the settings.
 

  1. Authorize By IP Address - you may restrict a user’s access to the Applicant Tracking by IP Address. Enter the allowed IP Address(es) in this field.
  2. Time Zone - Assign the user’s time zone to help with time and date stamp accuracy.
  3. Change User Type - Change the user from an Assigned User to another type of user within the Applicant Tracking tool.

  4. Show Notes and History Tab - All types of Manager Users and Assigned Users may be restricted from seeing the Notes & History tab of an applicant record.
  5. Show Other Jobs the Applicant Has Applied To - Option only available to Assigned User - By default Manager Users and Assigned Users can see other jobs to which an applicant has applied even if those jobs are outside business unit authority accessible by the user. However, if those jobs fall outside of the user’s business unit authority, then he/she will not be able to view the candidate application answers or be able to assign the applicant a status code.
  6. Can Make Notes - All types of Manager Users and Assigned Users may be restricted from the ability to make notes on the Note & History tab of the applicant record.
  7. Requisition Settings - Optional Feature - If you are actively using the optional Requisition Tool you may allow certain users the ability to use the Requisition feature and even pre-assign the approval path they must use.

Once you have saved (UPDATE) your new user setting selections the User will move to the newly assigned tab within the Users Dashboard (Administrator or Manager). You will need to access the user once again from the new tab to verify that all settings are in place. Go to the new tab (Administrator or Manager), and click the magnifying glass next to the user’s name. The user setting dialog box will open, and you may modify the settings as described below.

Administrator User

  • Be certain to assign the appropriate domain(s) for the administrator to access.
  • You may select a default homepage for the user.


Posting Manager User

  • Be certain to assign the appropriate business unit(s) for the manager to access.
  • You may select a default homepage for the user.
  • There is an additional option that will allow the manager to create the original job template prior to creating a job listing.


Non Posting Manager User

  • Be certain to assign the appropriate business unit(s) for the manager to access.
  • You may select a default homepage for the user.


Viewing Manager User

  • Be certain to assign the appropriate business unit(s) for the manager to access.
  • You may select a default homepage for the user.


Requisition Mass Update Tab
This tab will be available only to clients using the optional Requisition Tool. This tab will allow you to preset the approval path for a group of users. Note: You can assign the approval path on the individual user settings as well.

  1. Click the + (plus) icon to add an approval group.
  2. Give the Group a name.
  3. Select the users.
  4. Assign the approvers.
  5. Click Add Group.


Switch User Tab
This area allows you to move any manager user or assigned user to another domain (portal). This feature will only function if your have more than one domain (portal) within your Applicant Tracking tool.

  • Select the user by checking next to their name.
  • Then select the domain they should be moved to in the drop down menu and click “Submit”.
